BOD & Admin E-mail to Members' Group Request for Copies of Specified Docs and BOD Minutes.... ....And Members' Group Reply 09/23/2022

In the interest of transparency, the Member Group is posting an email received from Management concerning t he Members' Group request as per our Bylaws to inspect specified ASsociation Financial Records. The Groups' response will be added to this Clb Business Section Shortly

Dear Members,

We have received your “Request to Inspect Specific Financial Information “dated 9-13-2022 and your request for additional data dated 9-19-2022. We are sending this to all who requested this information, to which we collectively refer to herein as the “Requesters”. As previous communicated to you by Shelle Spence, we look forward to meeting with you on September 27. We will meet in the Haig Point Boardroom starting at 9:00am. We will not be set up to have anyone participate remotely or electronically. As you can appreciate, we need to fully understand what you expect to review and or copy. Until we meet with you to fully understand your request, and we determine what can be provided, we have not scheduled any meeting time other than September 27. We will be happy to schedule additional meeting time if needed. As you know, the information requested by you is proprietary to HPCCA and potentially could damage HPCCA if made available to those other than the Requesters or nonmembers of HPCCA. Therefore, we will expect each Requester to keep the HPCCA accounting records and other information that may be shared with you in confidence and will not be shared with others who are not HPCCA members.

As you know, the HPCCA Bylaws and the South Carolina statute provide HPCCA may charge reasonable fees for the copying of the information. Copying includes HPCCA staff time and costs of reproduction. These costs will be billed to the respective Requestors account in a pro rata amount.

Your request dated September 10, 2022 indicates you would like to have two or more groups split up to review requested records. While we want to address your requests, we don’t feel that is the most effective approach to address those requests. In addition, HPCCA’s Accounting & Finance team is not staffed to the level where we will be able to address requests from various different groups. We also ask that you let us know who among you is a contact person representing your group and who will be making decisions for the group. We look forward to meeting with you on September 27. Please provide in advance the names of the people who will be at the meeting so we can provide the proper amount of seating and refreshments for the meeting.
